about the job
You will be in charge of proactive diary management, travel coordination including flight schedules, accommodation and visas, coordination of internal and external meetings, processing expense claims through Concur and assisting with administrative tasks including printing, filing and data entry on behalf of the investment team. In addition, you will update the database with new contact information and confirm restaurant reservations for external meetings and maintain the internal restaurant guide for Singapore. You will also arrange catering for the office Friday lunch and other breakfast or lunch meetings, purchase office items on an ad hoc basis, and assist the office manager with greeting visitors, answering telephones and setting up meeting rooms and video conferences.
about the manager / team
You will report to the Managing Partner of the firm and provide secretarial support to 10 staff in the investment team. You will also have the opportunity to collaborate with other Executive Assistants in the region.
skills & experience required
You need to possess minimum a University degree with at least 5 years of relevant secretarial experience in a fast-paced and multi-national environment. This job is well-suited for somebody who is quick-thinking, with an entrepreneurial mindset, and the ability to work very well in a team. The ideal incumbent must also possess excellent communication skills. Candidates with working experience in banking and finance, or in start-up environments will be advantageous.
