about the job
You will assist and coordinate tenancy agreement renewal, office insurance, season carpark, newspaper subscriptions, etc. You will liaise with building management on issues relating to office unit. You will also help in identifying the relevant risks, corrective actions and adherence, and keeping records to be made available upon request by a Government inspector. In addition, you are responsible for vendors management and need to be resourceful in problem solving and alternative solutions if the core vendor is unable to fulfill requirements up to expectations. You will assist to provide secretarial support and assist Office Manager in administration / confidential work. You may also have be act as interim secretarial support for new joiners till permanent EA is appointed. You will help to process invoices due for payments via Concur system (covering accounts admin). For corporate secretarial matters, you will assist in Directors' resolutions on capital injections and ad-hoc matters, plus Directors' resolutions/ documentations for annual return.
about the manager / team
This role reports to the Office Manager, who holds a very senior position in the company despite her job title. There are also 2 junior members in the administrative team that you will supervise and work alongside with.
skills & Requirements for the job
To succeed in this role, you should be tertiary educated with minimum 6 years of experience in administration and operation functions, preferably in finance industry or related industry regulated by MAS.
