One of the top banking and financial client is looking for an Business Services Coordinator to join the team and provide admin assistance to the team.
About the role
This role will provide administrative assistance to the Team and support the Office. To succeed in this role, it will be good to have previous experience supporting executives and teams from the financial services industry. You should demonstrate a high degree of integrity, initiative, attention to details and independence in working on highly confidential matters. We are looking for an, Administration & Business Support (2 year contract) to join the team. Your Responsibilities as follows :
Office Reception
- Ensure reception area is kept tidy and presentable.
- Attend to the general email inbox and forward the relevant correspondence accordingly.
- Handle all inbound/outbound postal / courier mail accordingly.
- Booking and set up of meeting rooms as required.
- Responsible for all administrative and operational duties related to front desk
- First point of contact to receive and attend to internal / external visitors as required: issue of access passes, set up of work stations, adhoc logistical matters
Team Assistant
- Organize all travel arrangements consistent with company policy for identified teams: including flight tickets, visas, accommodation, transportation
- Provide support with all business-related claims including necessary approvals and tracking in compliance with company policy
- Ensure relevant approvals and memos, tracking sheets relating to above are well documented as required.
- Other administrative support as required (registration of seminar/conference/workshop).
General Office and Administrative Assistant
- Corporate Credit Card (Application, Cancellation, Disputes and Limit adjustments).
- Upkeep of internal approval matrix documentation - Authorised Signatories, Delegation of Authority.
- Facilitate orders for business cards and name stamps.
- Liaison point for external vendors and building management for regular and adhoc servicing requirements.
- Manage pantry and stationary supplies.
- Events planning and execution

- Proven work experience in Administration, or similar role.
- Proficiency in Microsoft Office.
- Proactive, Organized, self-disciplined, able to multi-task and a team-worker.
- Pleasant disposition & good communication skills.
- Problem solving skills
