About the company
A financial client is in search of a Team Secretary. This position is responsible for executive level administrative support for 1 CEO level and assist the Team on general administration work on ad hoc basis. Core tasks include scheduling, coordinating meetings, travel planning, contact management, obtaining supplies, filing and special projects.
About the role
Reporting to the Office Manager (“OM”) and assigned C-Suite members, the individual will be responsible for full secretarial support and administrative support to their respective teams and is required to support the OM on office administrative duties as required. The individual must be adaptable to changes and willing to complete any tasks assigned as identified, pitching in to help where necessary. The individual should have the flexibility to work late occasionally when required.
- Extensive secretarial/ administrative support for 1 CEOs (diaries management, scheduling meetings, claims submission, travel arrangements etc)
- Administrative support for assigned teams (claims submission, travel arrangements etc)
- managing of meeting rooms, receiving of guests, procuring of pantry/ office supplies, office equipment maintenance, incoming/ outgoing mail & courier services
- Support the OM on office administration duties including but not limited to:
o Organizing company events such as CNY luncheons, Christmas party, team events and client events
o Overseeing maintenance of office facilities and equipment
- Any other ad-hoc duties as assigned Administration

- coordinate and set up PCs, door pass issuance for visitors, new hires;
- manage and control office supplies and equipment (including breakdowns, low supplies, binding jobs)
manage subscriptions & follow up payments
- source, coordinate and arrange annual orders for the teams' corporate clients (Chinese New Year, Mooncake Festival, Christmas, SG Diaries, Staff's Diaries, Reports);
Skills and requirement
- Minimum Diploma, with at least 4 years relevant corporate secretary experience
- Ability to multi-task, takes initiative and is proactive with a can-do attitude
- Able to work independently, at the same time also a good team player
- Proficient in MS Office applications
- Approachable demeanour, energetic and willing to learn quickly
- High sense of responsibility and work ownership.
