about the job

As the Document Control Manager you will be responsible for range of business critical task, including:

  • Lead and manage a team to deliver a good Document Control Service for all project packages during the constructions and operations. (This team consist of site doc managers, contractor’s doc managers and consultant doc managers and may not report directly to this role).
  • Draft Procedures and workflow pertaining to Document Control Management. Manage and monitor the effectiveness & execution of the document control & management system.
  • Attend & manage meetings and update the management and project team the status of project deliverables such as contractor’s submission, design and shop drawings on a weekly basis.
  • Closely monitor and store all documents related to authority submission and approvals received from Consultants including warranties and indemnities, permits, certs etc. for all packages.
  • Provide latest design drawings, shop drawings and project documents to project managers/senior management upon request
  • Assist Project Managers for drawings review/ comments and upload and transmit to the relevant parties via EDMS
  • Involved in the closure works for all packages. Ensure all handover documents being archived are accurate in the EDMS including as-built drawings/O&M/indemnities
  • and warranties etc.
  • Provide assistance in tenancy works, operators & Licensing (Issued relevant documents/drawings for NEA &SPF approval)
  • Arrange meeting with Consultant/Contractors for outstanding as-built, design, documentation, presentations & data to obtain for various packages for the project
  • Oversee submissions are complete and as per schedule. Verify the submissions are as per contract requirements.
  • Assisting both internal and external auditing for all projects documentations
  • Provide as-built drawings & documents for all BU's upon request on a daily basis
  • Printing and scanning the drawings as requested by different BU’s
  • Distribute documents received/ issued as per the distribution matrix
  • Editing, modifying & computing the drawings using Auto-Cad as requested by the different BU’s.
  • File & store hard copy of drawings/documents for future reference and retrievals
  • Have a good understanding & ability to operate, organize & maintain the electronic or manual document management system provided for the project



skills and experience required

To succeed in this role you must possess the following skills and experience:

  • Diploma / Bachelor Degree in business administration or related.
  • Minimum 6-8 years working experience in handling document controller in construction environment.
  • Experience in using Aconex software.
  • Experience in leading a small team will be highly advantage.
