About the job

As an Executive Assistant, you will be expected to perform the full spectrum of secretariat and business support to the Directors and ensure that they make effective use of their time . The role will require you to act as a bridge for smooth communications, maintain strict confidentiality,take meeting minutes and outline action items for dissemination and follow-up, develop action plan to accommodate the unforeseen schedule or meeting changes,perform administrative duties such as travel, hotel and meal arrangements, personal claims, documentation, handle general office management, identify opportunities for process improvements and interact professionally with all levels of Management, Staff, Business Partners, and Internal/External Parties.

You will also be expected to stay relevant with all legal mandates and HR practices, assist the HR department in the onboarding and offboarding of employees, organization of HR related activities and provide administrative support to other departments where necessary.


About the manager/team

This position reports to the Chief Scientific Officer, General Manager. You will be required to work closely with various business/operation units to meet corporate needs. As such, you should be comfortable with collaboration and be able to work well independently as well as in a team setting.

Skills and experience required

The incumbent should be tertiary educated and come with at least 5 years of relevant experience in providing secretarial and administrative support to C-Level Executives. To succeed in this role, you must possess good business acumen and high inductive reasoning aptitude to coordinate multiple stakeholders and drive initiatives. It is essential that you have great interpersonal and communication skills with a strong command of written and spoken English. The ideal incumbent should also be meticulous, resourceful, tech-savvy and be able to perform under high pressure and tight deadlines.
