about the job

You will need to manage the agenda of MD and requests for meetings, calls & VC from team and external parties, mostly across different time zones. In addition, you will manage their travel and meeting schedules by booking flights (to get best options and times) and hotels (to get best priced and close proximity). This includes transport logistics and presentation materials. You will also assist to prepare and renew visas as well as visit passes to Canada and USA for other passport holders. You are responsible for receiving and screening incoming calls and emails, determine priority, and organize delivery, documentation and distribution.

about the manager / team

This role reports to the Director and you may also need to provide ad-hoc secretarial support to 3 other junior team members.

skills & experience required

The ideal candidate should be equipped with strong PC skills (MS Word, Excel and PowerPoint), as well as a minimum of 6 years of experience in an Executive Assistant or Personal Assistant capacity in multi-national corporations. This job is well suited for somebody with clear communication and good interpersonal skills, a proactive approach and positive can-do attitude and also excellent time management and the ability to multitask. Due to the fact that you will receive frequent emails and external callers in French, good proficiency in French language is mandatory for this role.
