about the job
In this role, you will need to manage the calendar of a C-suite Executive, who has a complex and hectic schedule with back to back appointments, and you will need to be good at multitasking to help deconflict and slot in last minute meetings frequently. Coordinating travel arrangements, preparing and submitting expense claims, organising meetings and company events, will fall under your scope of work. You will need to have a high level of discretion in handling sensitive and confidential information while working with your leader and will be liaising frequently with other EAs to schedule/reschedule meetings with stakeholders. You will also need to sit in to write formal meeting minutes alongside your stakeholder, which will be disseminated to the attendees thereafter.
about the manager/team
You will be reporting directly to the leader who you will be supporting.
skills and experience required
The ideal candidate should be tertiary educated and come with at least 5 years of experience in extending secretarial support to a regional leader and be familiar with working across different time zones. Familiarity with shorthand writing will help you in this role as you will need to take official minutes for management meetings. You will need to be flexible with your work hours due to the leader’s packed schedule and be very meticulous and organised in your work to coordinate with stakeholders/other EAs to reschedule conflicting appointments or slot in urgent requests for meetings. Coming with past experience in coordinating board meetings and being involved in various office projects, will be advantageous.
