A reputable financial industry client is looking for an Executive Assistant to create a great working environment to stakeholders and visitors. This position is responsible for executive level administrative support for MD level, other senior professionals and assist the Office Manager on general administration work on adhoc basis. Core tasks include scheduling, coordinating meetings, travel planning, contact management, obtaining supplies, filing and special projects.

In addition, this role will assist the Office Manager with day to day administrative
responsibility for the office operation as needed and back up/cover other assistant who is absent at work on vacation/medical leave.
You will need to deal with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Attention to detail is a must and independent judgment is required to plan, prioritize, and organize a diversified workload.
Your core responsibilities
Heavy calendar maintenance; organize and arrange meetings; book conference rooms, greet and escort guests
Answer phones, take accurate and detailed messages; sort and distribute mail
Handle travel arrangements, domestic and international and process expenses
Prioritizes own work based on established deadlines, manages time and makes
Alerts Executive to pending deadlines and/or priorities that require attention
Receives and screens phone calls and greets visitors. Exercises tact in dealing with
callers and visitors
Creates letters, reports, memos, etc. Proofreads for spelling, grammar, and layout,
making appropriate changes
Assist management in maintaining a clean, professional work environment.
Oversee day to day administrative operations of the office.
Assist Office Manager in office administration task or liaise with firm’s accounting, IT and human resources department if necessary.

Proficiency in MS Word, Excel, PowerPoint, Outlook is required
