My client is an established company looking for a Team Secretary to join their dynamic team.
about the job
As the first point of contact with the important stakeholder and as part of the management team, you’ll help assist the stakeholders to deliver high level of corporate admin service, Liaise with general and key administrative personnel with the following responsibility:
- Diary management
- Organisation of travel requirements, including organisation of hotel accommodation for colleagues from the different time zones offices.
- Taking care of travel expenses and ensuring that they reach the Finance Partner on time.
- Taking minutes for the meetings.
- Providing support, assisting in collating information and write-ups for the company public relations activities. Maintain constant communications with Digital and Social Media Manager.
- Filing and archiving
- To take a pro-active role in ensuring that appropriate materials, people, preparation etc. are organised when necessary
- Using initiative to contribute to improving quality standards in the company
- To handle all administrative duties when required
- Dealing with – at times highly confidential – internal and external correspondence (partnership reports, emails and letters)
- Keeping track of key dates and meetings
- Using initiative to contribute to improving quality standards within the team
Secretary to the team Partnerships
- Taking minutes of Partnership Meetings and any other meetings chaired by Managing Director. Timely distribution of approved minutes to the distribution list
- Sending reminders, collating reports and reproduction of complete set of reports for all partners prior to meetings
- Diary management in relation to team Partnership matters
- Provide support to the Group Chairman and other Holding Board Partners when in Singapore
Covering reception when necessary
- Answering incoming telephone calls
- Greeting and receiving visitors
- Arranging couriers, taxis and rental cars
- Manage booking of meeting rooms through the electronic diary
- Taking care of catering requirements for client or internal meetings in accordance with company policy
- Manage all incoming and outgoing mails, parcels, faxes and telephone messages
skills and experience required
You should have minimally least 6 year of relevant experience in as a team secretary environment. You need to be independent and able to work well in a team set up.
