about the company

The company is a leading global bank with an impressive and solid track record especially in Europe. The Singapore office is small with just 20 headcount and planned expansion to 25 staff by end of 2022.

about the job

You will liaise with vendors and service providers and assist in procurement of office supplies, vendor selection and service /contract management and renewal. In addition, you will assist in office expense procedures, especially reviewing expense claims and checking invoices against purchase/service orders, quotations and contracts. You will also support logistics of office activities and business events, such as town hall, annual dinner, office training, seminars, offsite, premium gifts, client gift register. You are responsible for the support of office reconfiguration, renovation and relocation. In future, once business travels are allowed again, you will book air-tickets and hotels, apply business visas and coordinate other logistics for executives travelling overseas. As you will be an individual contributor in the Singapore office, you will need to roll up your sleeves and perform simple tasks such as answer incoming calls, greet visitors, handle mail/courier, arrange meeting room as well as provide occasional pantry service support such as serving tea and coffee for visitors. Overall, you will support office health and safety, e.g. COVID related measures, set up and reports.

about the manager / team

You will report to the Regional Administrative Manager who is based in Hong Kong, and locally to the CEO of the bank in Singapore.

skills & requirements for the job

You should be tertiary-educated and come with a minimum of 5 years of experience in Office Management/Administration/Facilities & Corporate Services, preferably within banking and financial services. This role is well-suited for somebody who is energetic, reliable, highly motivated and passionate about the role. You must also have strong interpersonal and organizational skills with a can-do attitude, and be flexible to provide support as needed and reflect the business realities of the operation.
