My client is a well established global investment management firm with significant international presence spanning Europe, America and Asia. The Singapore Office is looking for a proactive and experienced Office Manager and Executive Assistant to oversee operations of the office, provide high level administrative support to senior leadership and contribute to overall organisational effectiveness. This is a pivotal role requiring a highly organised, detail oriented and resourceful individual with strong ability to multitask and prioritise in a fast-paced environment.

- Executive Support
- Coordinate and manage daily schedules, appointments, and meetings for the CEO.
- Plan and organize travel arrangements, including flights, accommodations, and itineraries.
- Prepare reports, presentations, and correspondence as required.
- Manage incoming and outgoing communications, including emails and phone calls.
- Handle document filing and retrieval, ensuring organizational efficiency.
- Take minutes during meetings, agenda and circulation of action points.
- Office Management:
- Coordination of reception related activities for the office, facilities management.
- Oversee office supplies and liaise with vendors for purchases or services.
- Arranging for courier services
- Support team activities and events organization such as townhalls and global events for the office.
- Arranging Concur set ups and training for new employees.
- Point of contact for communications across the APAC offices.
- Any other regular or ad hoc duties or projects from time to time.
- Finance Duties:
- Handle finance administration tasks, including processing invoices, obtaining approvals, coordinating payments via Concur and other banking portals.
- Liaising with Fund Administrators for various requests such as invoices and payments
- Work closely with the Finance team to provide support for financial reporting and other various accounting systems, ensuring accuracy and compliance, such as bank reconciliations and inputs on accounting systems.
skills and experience required
The ideal candidate should come with at least 10 years of experience as an office managerial position or in similar capacity within the industry. Experience in executive support to senior level stakeholders and has handled finance administrative tasks is an added advantage. You should also be meticulous, organized, able to maintain confidentiality and handle sensitive information. You should also have excellent written and verbal communication skills (English and Mandarin), and proficient in Microsoft Office.
