As an Executive Support, you will play a pivotal role in ensuring smooth day-to-day office operations while providing high-level, multifaceted administrative support to senior management. This role offers strong exposure to senior stakeholders and cross-functional projects, making it an excellent opportunity to expand your business acumen.
Key Responsibilities:
- Executive Secretariat: Manage complex calendars, schedule meetings, handle expense claims, draft documents, and manage business reservations for senior management.
- Travel & Delegation Management: Oversee end-to-end corporate travel logistics (flights, visas, hotels), manage travel vendors, and coordinate high-profile HQ delegation visits, stakeholder engagements, and MOU signings.
- Global Mobility Support: Manage housing arrangements for Management Team secondees, including agent liaison, lease negotiations, and maintenance coordination.
- Finance & Procurement: Handle procurement activities, process documents, and perform payment verifications (invoices, approval requests) in line with company policies.
- Reporting & Communication: Prepare and draft comprehensive meeting minutes and reports in both English and Chinese for weekly and quarterly HQ submissions.
- Events & Operations: Plan and execute company events (CSR initiatives, business functions) and provide general office administrative support (driver management, office supplies).
About the Manager/Team
You will be working closely with 2 other secretaries and supporting a team of 11 - 12 stakeholders.
skills and experience required
Applicants need to be minimally Bachelor’s degree in any discipline, with a minimum of 3 years of relevant experience in a secretarial or executive support role. Excellent communication skills with the ability to draft professional reports and handle housing/HQ correspondence in both English and Chinese to service the HQ stakeholders who are only able to converse in Chinese. You should be strong in relationship building and stakeholder management, and come with great communication skills to interact efficiently and professionally.
